Bates Wells and Braithwaite London LLP is a mid-size commercial law firm based in London, serving a wide range of commercial, statutory, charity and social enterprises. They have a mixed fleet of Canon multi-functional devices and HP printers, and use LexisNexis Visualfiles as their case management software.

The Challenge

Bates Wells and Braithwaite were looking to make efficiency gains and reduce costs through their existing print hardware.  The firm was also looking to invest in software that would integrate seamlessly with current processes and create a functional macro environment suited to user needs.

The firm had been writing their own print macros to manage and control print processes across the firm.  Producing these was time consuming, heavy on individual and IT resources and a drain on expenses.

Print Audit Investigation

The firm’s systems were examined   through a thorough and detailed print audit.  This involved undertaking a deep analysis of the print processes of the firm which gave a clear and precise breakdown of the cost of each print identifying costly printers, applications and users.  This allowed the firm to begin to introduce changes to the print structure and reduce the amount they printed .

The print audit identified the opportunity to make use of Kappris’ printer driver .  Kappris allows administrative and user control of print.

Scott Baggley, IT Manager explains, ‘once they  had demonstrated to us the efficiency gains to be made as a result of the print audit we began to explore Kappris’ print program software.  The belief was that this would undoubtedly benefit the firm and in particular the users.  It became a simple decision when the print audit identified that the savings made easily justified the return on investment.’

Outlook Integration

Kappris  has key functionality, working with legal and office software.  Scott Baggley was particularly impressed with the way the software integrates with Microsoft Outlook: ‘Outlook printing constitutes a great deal of our print output, as such we were looking at ways in which this could be reduced.  The print program allows us to enforce and suggest print rules to users.  We can make sure they only print in mono and that these are double sided.  The result is lower print costs and a reduction in paper waste.  This has also led to a greater understanding among our users of intelligent printing – saving the firm money and helping to meet our environmental targets.’

Ease of Use and Key Support

With 170 users in the head office the software needed to be simple to set up and configure.  It integrates seamlessly with both the Canon and HP printing devices in use at the firm giving a unique and all-encompassing solution.  Adding new devices to the network usually involves a great deal of configuration to software but with the print program minimal administrative work needed to be done.
