Challenge
Boodle
Hatfield had a complex print set-up with a number of devices from different
manufacturers in use, including a mixed fleet of network printers and multi-functional devices, often with
different configurations. Managing these
can be problematic and time consuming with several pieces of software.
As a
consequence the firm was looking for a single management system to administer
print processes and print macros throughout the firm. They were also interested in making
efficiency savings that would result in reduced costs and improvement in their
environmental performance due to less waste.
Implementation
Boodle
Hatfield started to look at reworking their print management process which
involved the complex process of rewriting macros. They found that Kappris could do this through
their print driver so Boodle Hatfield began to explore implementing this within
the firm. It made sense to utilise
Kappris because the firm could then manage the macro process themselves,
introducing and writing print processes when they were needed. It also meant that there was no need for
hard-coding, creating a unique solution that was implemented to influence
printing across all applications within the firm.
Introducing
the print driver onto Boodle Hatfield’s system would mean that in the future
they could control and manage the whole print process, including administering
macros, entirely from their end and at their discretion.
Adaptability
and Response
Boodle
Hatfield use Kappris throughout the firm, in all the applications they print
from. In particular they make use of
printing from Outlook where the administrator can set print to be plain mono duplex
and even separate and staple the attachments as well as the main email. The user then has the option only to print
certain parts of an email conversation and remove the lengthy footers. As email printing takes up a significant part
of any firm’s print output this has dramatically affected the number of pages
printed.
Multiple copies can be printed at any one time,
so when a user needs to print a file copy (using low quality paper) and a final
copy (using high quality paper) these are automatically selected and taken from
specific printer trays, as set by the administrators. During use it became clear that users
required a label to be printed when mailing final copies. Boodle Hatfield went back to Kutana to seek a
solution. Kutana responded by adding a feature to Kappris that allowed users to print
to specific label printers. This was enhanced further to allow printing of
letter, copy and address label,
