Tollers - Kappris
Tollers Solicitors is a legal firm based in the midlands delivering a wide range of legal services to individual clients and businesses. With 150 staff based at 4 offices the firm uses Norwel as their case management software and has a mixed fleet of Sharp and HP devices.

The Challenge
Tollers did not have recognised print management software in use so they wrote their own print macros and rolled them out throughout the firm. This was proving to be problematic. Head of IT Mark May explains, ‘We were experiencing problems when printing, this often resulted in printing output coming from the wrong tray and there were a number of knock-on IT issues. The consequence was an unhappy group of users.’
Experiencing printing problems can be incredibly frustrating for users and can hinder productive working, eliminating this was a key goal of the brief. The firm was therefore looking to solve the IT and print problems with a smooth and easy transition to a new print management system. They were also keen to reduce paper waste with a view to improving the environmental credentials and release the hidden profit of the firm.
Implementation Process
Tollers was looking to ensure users were exposed to as little disruption as possible. The process was as smooth and pain free as could be hoped for. Another key element of the implementation process was that the software be easy to install and integrate with current systems. Mark May explains how it developed , ‘The implementation process was a breeze. Putting new software on a system usually fills our IT technicians with dread but Kappris was a welcome change. It was comforting to know that should any issues arise then the technical support at Kappris would be there to help us with every step.’
Where Tollers did encounter problems they were dealt with quickly and resolved to suit the position required. Indeed Kappris has added enhancements to improve the performance of the software and make sure it fits with the needs of Tollers users and the firm’s overall approach to print.
Results
Now that Tollers has been using Kappris for twelve months the firm is in a perfect position to comment on the effectiveness and the results they have experienced.
Mark May, ‘we have seen a reduction in the amount of time IT spend sorting out printing issues and re-writing macros. Kappris has effectively taken that out of our hands. It also means that should a print device develop a problem a simple redirect prevents a log jam of print jobs. The device can then be fixed without the need to install a new printer which has been a massive saving of time for the IT team and users. The results for the firm have been incredibly beneficial’.
Perhaps most importantly the users have been particularly impressed. This is especially the case with the Outlook printing feature where users can select parts of a conversation to print or reverse the order of the conversation when printing. This has resulted in fewer wasted pages as users are not printing the whole conversation chain. The environmental benefit is also clear, visual and tangible. Users are pleased to see that their employer is helping to reduce paper waste and improve environmental performance.
The Future
Tollers will shortly be moving to Microsoft Office 2010 and the IT department are very pleased that they don’t have to think about rewriting print macros as they just simply reconfigure Kappris. The regular enhancements of Kappris means that there is no need to think about printing issues any more as Kutana work across a large cross section of law firms with the experience of dealing with many of these problems.
